Flex Space Policy

Background

The primary function of the Flex Space is to support special events and programming that enrich the academic and co-curricular experience at WCU, with secondary use as a student study space (when not reserved).

Scheduling Policy

This multipurpose room accommodates 60 (chair and table setup), 64 (small group setup), and 90 (lecture-style seating with no tables) and is primarily intended for special events and study space use. The room supports a variety of activities, including workshops, guest speakers, university events, and student organization programs.

Reservations will be approved in order of receipt and in alignment with these priorities:

  1. University, college, department, unit, or student group-sponsored programming and events
  2. Large university classes requiring access to library-specific resources
  3. University employee training and development
  4. Student open study space (when not reserved for events)

To ensure equitable access and alignment with the room’s intended use:

  • Recurring reservations for club meetings (e.g., every Monday evening) or regular class sessions (e.g., every Monday/Wednesday at noon) are typically not permitted. Recurring events may be permitted during low-use times, like weekends.
  • One-time or occasional events hosted by student clubs, student groups, departments, or university units are welcome, subject to availability. A faculty or staff advisor will need to reserve the room.
  • The room will not be open for reservation during finals week in fall and spring semester.
  • Reservations must clearly state the purpose of the event and expected attendance.

Room Configurations

Room Configurations

The Flex Space can accommodate studying, classes, small group-based programs, speakers, and other events.

  • Small group layout (default): Seats 64 in groups of 8
    • Optimal for classes and programs involving group work 
  • Class layout: Seats 60, each with a table and chair
    • Optimal for classes with or without group work
  • Speaker layout: Seats 90, each with a chair only
    • Optimal for settings with larger groups where desks aren’t needed. Users are welcome to reconfigure furniture to meet their needs before or during an event. Furniture placement guides are posted on the walls. The default layout will seat 64 people in groups of eight.

Please note: the lighting in the room cannot be dimmed or turned off, and the room is not soundproof.

Library Administration will approve requests. The Research & Instruction Services Department Head is backup approver when the Executive Assistant is unavailable. The library will post event and class times for the day outside of the room.

Space Use Rules 

  • Shut down the projector and any other equipment.
  • Return furniture to the table configuration, clean up trash, etc.
  • Food and drink are permitted; please report spills to any library service desk immediately.
